Privacy Policy

How Hackney Enterprises Inc. collects, uses, and protects information across the Mittro website and service - including what happens with phone calls, text messages, recordings, and payments.

This policy explains how Hackney Enterprises Inc. ("HEI", "we", "us") handles information for Mittro, the field service management product at mittro.app, and this website, getmittro.com. Mittro's phone features run on the Kyova Communications network, which HEI also owns and operates. We have tried to write this in plain English; where a section has legal weight, the plain-English heading still means what it says.

The short version

  • We collect what we need to run the product and this website, and not more.
  • Your customers' data belongs to you. We process it to provide the service and do not sell it - or anything else - to anyone.
  • Calls and texts run on our own network. Recordings and transcripts exist only when your account has those features on, and you are responsible for the consent notices your state requires.
  • Card payments are handled by Stripe. We never store card numbers on our systems.
  • You can export your data, and you can ask us to delete it.

Who this policy covers

It covers three groups: visitors to getmittro.com, people who create or use a Mittro account (owners, admins, dispatchers, office staff, and field techs), and - indirectly - the customers of the businesses that use Mittro. If you are a customer of a company that uses Mittro (say, the homeowner whose HVAC company runs on it), that company controls your information; we process it on their instructions. Requests about that data should go to the business you hired, and we will help them honor it.

What we collect on this website

getmittro.com is a marketing site. It does not use third-party analytics, advertising trackers, or social media pixels, and it loads no third-party scripts. We collect only standard server logs (IP address, browser type, pages requested, timestamps) used for security and to keep the site working, and anything you choose to send us by email at hello@getmittro.com.

What we collect in the Mittro service

When a business signs up for Mittro, we collect and store:

  • Account information. Names, email addresses, phone numbers, and roles for the people on the account, plus company details like business name and timezone.
  • Business records you create. Customers, properties, jobs, estimates, invoices, notes, photos, signatures, and documents your team enters or uploads. This routinely includes your customers' names, addresses, phone numbers, and service history.
  • Phone and messaging data. Because phone service is part of every plan, we process call metadata (numbers, timestamps, duration), text message content sent and received on your business number, voicemails, and - where recording or AI answering is enabled - call recordings and transcripts. This traffic runs on the Kyova Communications network operated by HEI.
  • Location data. If your plan includes GPS fleet tracking, we process the location of technician devices or vehicles during working sessions the business enables. We do not track anyone outside of that.
  • Billing information. Your subscription plan and invoice history. Card details are collected and stored by Stripe, our payment processor - they never touch our servers.
  • Usage and device data. Logs of sign-ins and actions in the product, used for security, audit trails, and support.

Call recordings, AI answering, and consent

Some Mittro features involve recording or transcribing phone calls - call recording, voicemail transcription, and Call Scarlett, the AI answering service that handles calls when your team cannot.

Call recording laws vary by state. Some states require the consent of every party on the call, not just the business. If your account records calls or uses AI answering, you are responsible for providing any notices and obtaining any consents your jurisdiction requires - for example, a recording announcement at the start of the call. We provide tools to help, but compliance with the recording laws that apply to your business is your obligation, and we recommend confirming your setup with your own counsel.

Recordings and transcripts are stored with your account data, are visible only to your team, and are used to provide the service - attaching a call summary to a customer record, for example. We do not use your recordings to advertise to anyone, and we do not sell them.

Text messaging (SMS) and consent

Mittro sends text messages on your business number: appointment reminders, on-the-way notifications, review requests, and two-way conversations with your customers. Under the Telephone Consumer Protection Act (TCPA) and carrier rules, businesses need appropriate consent before texting their customers. When you use Mittro's texting features, you are responsible for having your customers' consent to receive those messages and for honoring opt-outs. Mittro processes standard opt-out keywords (such as STOP) and will stop sending messages to numbers that opt out.

How we use information

We use the information above to provide and operate the service; to route, connect, and log calls and messages; to bill subscriptions; to secure accounts and investigate abuse; to provide support; and to improve the product. AI features (call summaries, transcript cleanup, scheduling suggestions) process your content to produce results for your account - we do not use your business's data to train models for other customers.

What we share, and with whom

We do not sell personal information, and we do not share it with advertisers. We share data only with the service providers needed to run Mittro - payment processing (Stripe), infrastructure and hosting, telecom interconnection carriers that complete calls and messages beyond our network, transactional email delivery, and accounting integrations you connect yourself (such as QuickBooks). Each processes data only to provide their service to us. We may also disclose information if the law genuinely requires it, or as part of a corporate transaction - in which case this policy continues to apply to data collected under it.

How long we keep things

Account and business records are kept for as long as your account is active. After cancellation, you can export your data, and we delete or de-identify account data on a defined schedule rather than keeping it indefinitely. Call recordings and transcripts follow the retention settings on your account. We may retain limited records where the law requires it (tax and billing records, for example) or to resolve disputes.

Security

Data is encrypted in transit, access to production systems is restricted and logged, and sensitive operations leave an audit trail. No system is perfectly secure, but we treat your customer list, your call recordings, and your billing history as things that would hurt your business if they leaked - because they would.

Your choices and rights

You can access, correct, export, or delete the data on your account. Depending on where you live, you may have specific legal rights to request access to or deletion of your personal information; we honor such requests regardless of which state's law grants them, subject to verification and legal exceptions. To exercise any of these, email hello@getmittro.com. If you are a customer of a Mittro-using business, we will route your request to that business and support them in honoring it.

Children

Mittro is a business product. It is not directed to children under 13, and we do not knowingly collect information from them.

Changes to this policy

If we change this policy, we will update the effective date at the top and, for meaningful changes affecting active accounts, notify account owners by email before the change takes effect.
